Payment & Refund Policy

This Payment & Refund Policy (“Policy”) explains how we handle prices, payments, renewals, cancellations, taxes, third-party charges, and refunds for purchases made on our website and related platforms (the “Site”). If you have a signed services agreement (e.g., for specific tiers/searches), that agreement controls for that engagement; otherwise this Policy applies.

1) Pricing, Currency & Taxes

  • Currency. Unless stated otherwise, all prices are in Canadian dollars (CAD).

  • Taxes. Prices are exclusive of applicable taxes (e.g., HST 13% in Ontario). You are responsible for all taxes, duties, and government charges.

  • Price changes. We may update prices or plans from time to time. Changes apply prospectively (on renewal or new orders). Any promotional pricing will be honored only for the stated promo term.

2) Types of Charges

We offer:

  • Subscriptions (e.g., monthly access or tools), which auto-renew until cancelled.

  • Pay-per-use / flat-fee services (e.g., postings, shortlist add-ons).

  • Pass-through costs (e.g., sponsored job ads, background checks, training/course fees), billed at cost with your prior approval and subject to the third-party provider’s terms.

3) Payment Methods & Timing

  • Accepted methods: EMT, credit, and debit (as shown at checkout or on your invoice).

  • When you’re charged:

    • Subscriptions: charged upfront at the start of each term.

    • Pay-per-use/flat-fee: charged at order or on the service trigger/milestone shown at checkout.

    • Pass-throughs: charged when incurred (with your prior approval).

  • Invoices. Invoices are due upon receipt unless a due date is shown.

4) Renewals, Cancellations & Downgrades (Subscriptions)

  • Auto-renewal. Subscriptions renew automatically for successive terms unless you cancel before your renewal date.

  • Effective date. Cancellations take effect at the end of the current term.

  • Downgrades. Take effect next term. Feature access persists at the current tier until then.

5) Refunds

  • General rule. All fees are non-refundable except where required by law or expressly stated otherwise at purchase. This includes partial-term periods if you cancel early.

  • Service availability. Temporary downtime, maintenance, or changes to features do not entitle you to a refund unless required by law.

  • Pass-through costs. Third-party fees (e.g., job ads, background checks, training) are non-refundable once purchased from the provider.

  • Promotions/credits. Promo discounts, coupons, and credits are non-transferable and not redeemable for cash.

6) Disputed Charges, Chargebacks & NSF

  • Disputes. If you believe a charge is incorrect, contact info@hireloomtalentgroup.com within 5 Business Days of the charge/invoice date. We’ll review and respond in a timely manner.

  • Chargebacks/NSF. You are responsible for payment-processor chargebacks, returned/NSF payments, and related bank/processor fees. We may re-invoice such amounts plus the actual fees incurred and, if necessary, suspend services until resolved.

7) Third-Party Services & Courses

  • Sponsored job ads, background checks, training, and other third-party services are supplied by independent providers under their own terms and policies. We coordinate these services but do not control their content, delivery, or timing. Refunds for third-party services are governed by the provider’s policies, and provider fees are typically non-refundable once purchased.

8) Security & Fraud Prevention

We use reputable payment processors and reasonable safeguards, but no method is 100% secure. We may decline or cancel orders for suspected fraud, misuse, or policy violations and will refund any amounts charged for orders we cancel before fulfillment (excluding third-party costs already incurred with your approval).

9) Limited Liability (Payments)

To the fullest extent permitted by law, Hireloom is not liable for any indirect, incidental, special, consequential, or punitive damages (including lost profits) arising from or related to payments, billing, or refunds. In all cases, Hireloom’s aggregate liability is limited to the amounts you paid to Hireloom via the Site in the 6 months preceding the event giving rise to the claim.

10) Conflicts with Signed Agreements

If you and Hireloom have executed a signed services agreement (e.g., for recruitment tiers or executive search), and there is a conflict with this Policy, the signed agreement controls for that engagement.
